The Challenge – Replacing Outdated Construction Accounting System 

Amicus was operating a legacy job cost accounting system that became outdated, cumbersome, and resource intensive. The system’s complexity created onboarding challenges for new team members and required costly external efforts. Amicus identified the need for a cloud based solution to streamline processes, improve controls, and integrate seamlessly with their existing tools, design and preconstruction
Processes.

The Fix – Modern PM Tools next to Construction Finance

As a system and change management professional for Amicus, Hollie Mikolajczyk evaluated multiple software options.

“We chose Autodesk Construction Cloud (ACC) for its intuitive, all-in-one capabilities tailored to construction management”, says Hollie Mikolajczyk.

The transition began with a focus on Cost Management within the Autodesk’s Construction Cloud platform, focused on addressing Amicus’s core financial requirements and setting the stage for broader
system integrations.

Building a Construction Ecosystem

With modern tools comes modern solutions and the opportunities that are enabling Amicus to continue its leadership as a preferred interior fit-out design-build contractor. Autodesk Construction Cloud with its unique blend of enhanced project management (PM) Tools enables contract administrators (CA) and project managers the ability to accurately manage project financial performance while having efficiency of document management, scheduling and correspondence wrapped directly into project financial tools.

Unavailable in construction accounting software whose primary focus is company and project financials – users of Autodesk Construction Cloud benefit from project controls that wrap both project financials into
operational efficiencies, allowing PM’s and CA’s access to inter-connected project management records with financial visibility.

The Amicus Team now has upstream client progress claims next to downstream subcontract agreement that directly integrates to Docu-Sign. Allowing weekly project forecasts and AR / AP financial reporting next to programme management.

This unique functionality is made possible through ACC direct linkage of MYOB Acumatica, Asta Power Project and Microsoft Project programmes to ACC
project budget and billing structures. Combined with ACC Docs that assures correct drawing and specification version referencing, enabling the Amicus team to access document markup tools and revision control with workflows. Giving field or office personnel quick access through mobile native apps or web browser.

Amicus ACC Implementation and Early Learnings

The implementation, involving forty-five team members across various roles, was a significant shift for the organisation. Initially referred to as the ERP upgrade project, the transition introduced new workflows and checkpoints, enhancing visibility and controls but also increased task complexity.

Reflecting on the process, Hollie described it as “building the plane as we fly it.”

Looking back, Hollie acknowledges the value of piloting systems before going live. “We could have approached the implementation of ACC Cost Management as project, acting as the client and general contractor,” she reflects.

This approach would have provided firsthand experience with ACC Build Cost Management features while refining workflows. Despite change management challenges, Hollie is proud of the progress made, considering we went live without a pilot, it’s remarkable how well we’ve adapted.”

Autodesk Construction Cloud: Driving Efficiencies through Integration

Today, Amicus uses ACC Build Cost Management for contract management and client invoicing with integration to MYOB Acumatica Construction. Acumatica financial platform supports bank reconciliation, payment processing and tax compliance.

Using the Cadgroup ACC / Acumatica integration, the Amicus Team leverages modern accounting automation, like bank feeds, retention management and Australian tax reporting while keeping project management tools at the fingertips of project delivery teams. Although the learning curve has been steep, the two systems combined have improved Amicus’s visibility while supporting better workflows and consistency – catching process errors historically gone unnoticed in their legacy system.

The Road Ahead

Amicus will continue to focus on optimising ACC’s functionality, expanding the use of ACC modules like Docs, Build, BIM Collaboration. With combined use of ACC modules and Autodesk Construction Cloud common data environment, Amicus will continue to increase efficiencies for both internal staff and external teams. By the end of 2025, Amicus will achieve its goal of All-In-One construction platform that drives team process efficiencies, allowing Amicus’s design team to manage module coordination next to pre-construction and delivery team workflows. Using BIM Collaboration and ACC Docs external or team members with permissions can view and leverage the most current Revit design models, confidently supporting the Design, Preconstruction, Project, and
Cost Management Teams.

ACC Reporting Insights

Leveraging Autodesk Construction Cloud’s Business Intelligence report automation enables team members to manage by exception with confidence and accuracy reducing manual checks and validations. Each project user has access to their customisable home screen with key project financial reports easily viewable in reporting formats customised to Amicus’s preferences.
